Medicar Limited is the controller for personal information collected through this website and direct private transport enquiries. Medicar is registered with the Information Commissioner's Office under registration ZA475688.

Information we may collect

We may collect contact details, journey information, organisation details and relevant information about a passenger's mobility, transport position, access and support requirements. Please provide only what is reasonably needed for us to assess and respond to the enquiry.

Why we use it

• To respond to enquiries and prepare quotations
• To assess journey suitability, equipment, staffing and access
• To arrange and deliver confirmed transport services
• To communicate with authorised family, care and healthcare contacts
• To meet safeguarding, regulatory, legal and record-keeping obligations
• To protect the safety and rights of passengers, staff and others

Lawful basis

The lawful basis depends on the context and may include taking steps before a contract, performance of a contract, legal obligation, legitimate interests and, where relevant, conditions allowing the use of health information for health or social care and safeguarding purposes.

Who information may be shared with

Information may be shared where necessary with the passenger, authorised representatives, sending and receiving services, clinicians or care professionals, contracted service providers, regulators, insurers, professional advisers or authorities where required by law. We do not sell personal information.

How long information is kept

Records are kept only as long as necessary for the purpose, applicable legal duties, safeguarding, complaints, insurance, regulatory requirements and the defence of legal claims. Different records may have different retention periods.

Your rights

Depending on the circumstances, you may have rights of access, correction, erasure, restriction, objection and data portability. You can also complain to the Information Commissioner's Office.

Website services

The manual enquiry forms are provided through Wix and create submissions in Medicar's Wix account. The instant estimate calculator is provided through Medicar's quotation app, uses Google Maps for route calculations and stores submitted estimate enquiries in Medicar's quotation system. Journey locations are sent to the mapping provider to calculate the route. You can obtain an estimate before providing contact details. Calls and WhatsApp messages are handled through the relevant communications provider. Their own service terms and privacy information may also apply.
